Changes, Refunds and Cancellations Policy

HSA can change your appointment time or details if required but it is important to give us as at least 48 hours notice. Please note that once you have made your appointment you will not be able to make changes to it over the Internet. You will need to ring or attend an HSA office in person. See the list of HSA Offices for contact details.

Changing your appointment time

If you wish to change the time of your appointment you will need to contact the HSA Office for which your appointment was made. If you make the change within 48 hours of the original appointment, an administrative charge may be applied.

Cancellations

If you wish to cancel your appointment please ring the HSA Office for which the appointment was made. You can obtain a refund only by attending the HSA office — see Refund details below.

Failure to attend

If you fail to attend for your medical examination you must contact the HSA Office to make a new appointment time. A non-attendance administrative charge may apply.

Changed Examination Type

If it turns out that your appointment has been made for the wrong type of medical examination (eg if your circumstances have changed or you answered some questions incorrectly) the HSA staff will be happy to change your examination requirements. Depending on the type of examination this could require you to make an additional payment or it may require HSA to provide you with a partial refund. It is also possible that a new appointment time may have to be made.

Additional Payments

If an additional payment is required you must make this payment at our reception counter when you attend for your appointment. Payment will be required before the medical examination can take place.

Refunds

You must attend the HSA office for any refund due to you. This can be done at any time during business hours. You will need to bring

  • A copy of the receipt that was e-mailed to you
  • Personal identification
  • The credit card you used to make the original appointment We will not be able to give you a refund until you bring all of these with you. HSA does not provide refunds for any completed services. If in doubt, or if you need further assistance please ring your nearest HSA Office.

Charges*

Listed below are the costs for the visa medical examinations, associated tests and a digital photograph when these services are provided at a HSA Office. The photograph is part of the DIAC requirement.

The cost of the examination will depend on the type of visa that you are applying for.

For example, if you are applying for a permanent resident visa you will be required to have a medical examination, a chest x-ray, HIV pathology blood test and your photograph taken. In some instances you may also be required to have a Hepatitis B or C or both blood tests.

Note: This example is for an adult person over 15 years old.

The cost of certain services delivered in HSA Offices in regional areas may vary to reflect the additional cost of servicing those areas. The services and locations affected are as follows:

Other Services

In certain circumstances, DIAC may also request that you undergo a specific type of assessment. The following fees provide an idea of costs associated with such examinations, if performed in a HSA office:

Fit to Travel Medical Examination (per examination) $313 incl. GST
Fit to Depart Assessment (per assessment) $110 incl. GST
Fit to Depart Medical Examination (per examination) $177 incl. GST
Over 70s Visitor Health Check (per examination) $192 incl. GST
Postage and Handling $12 incl. GST


Under certain circumstances, Fit to Travel and Fit to Depart medical examinations may be performed at your home. In this case HSA would charge travel time from the nearest HSA office to that location and return in addition to the examination fee.

A Fit to Depart assessment may be requested for some Medical Treatment Visa applications. You will be notified by DIAC if this is required.

The Fit to Travel test may be requested by DIAC in the following scenarios:

• when a person requests the Department to waive condition 8503 'no further stay' or
• when a person holds a visa which is about to expire and advises s/he is not well enough to leave Australia or
• when a person has applied for a Bridging visa and advises s/he is not well enough to leave Australia .
